Position Summary Information
Summary
Proposal preparation, non-financial award administration, website maintenance. Provide guidance to Sponsored Programs Administrator.
Principal Functional Responsibilities
Proposal and Award Preparation: Provide guidance to faculty and staff in proposal preparation, including budgets, sponsor guidelines, University policies and procedures, and electronic submission processes. Monitor status of pending proposals. Initially review proposals for accuracy and basic compliance with guidelines and policies, ensure appropriate approvals for proposals; contact collaborating institutions to obtain required proposal documents and assurances. Work with faculty on Just In Time (JIT) submissions. Award set up including draft budgets based on award agreement; prepare and compile documents necessary for setup of grant indexes by Grants Accounting; notify PI when grant is set up and provide relevant information regarding the award. May serve as primary Sponsored Programs contact for oversight of specific, complex projects; may oversee submission of major or complex proposals.
Recordkeeping and Database Maintenance: Maintain paper and electronic files and databases based on department standards, policies and procedures; accurately enter proposal and award data into grants management system; process proposals records according to Division policy. Assist with preparation of standard reports and metrics to include: audit electronic records to ensure accuracy assist with report development, assist with the maintenance of data tables and configuration elements in the grants management system and legacy system as needed.
Website Maintenance: Assist with ORSP website maintenance and updates to information technology including updating announcement page with upcoming Research Events along with submitting event information to The Pulse, maintaining up to date information regarding the institution, maintaining up to date information on relevant funding opportunities which may include development of newsletters. Review changes to IT used in ORSP and provide training to ORSP staff.
Supervisory and Mentoring Duties: May supervise students including hiring and disciplinary recommendations, conducting performance evaluations, and fulfilling responsibilities of human resource management. Meets with new staff to explain Sponsored Programs’ role and clarify interests. Assist in mentoring and training entry level Sponsored Programs Administrators and serve as information source for department and college level administrators.
Other Duties: Represent the department and University on committees and at various meetings as required. Perform other duties as required
Qualifications
  • Bachelor’s degree
  • Four years research administrative experience or related experience
  • Proficient in Microsoft Office Suite
Preferred Qualifications
  • Master’s degree in relevant field or Certified Research Administrator
  • Experience in higher education, data management and fundamentals of research administration
  • Knowledge and/or familiarity with Banner system functionality
Physical Requirements
Must be able to utilize a phone, computer and other office equipment.

Department Specific Information
Starting Salary Range: $46,300 – $51,000, commensurate with experience
