Position Summary Information
Summary
Support the planning, execution, and evaluation of university programs. This position involves managing multiple aspects of program operations, including logistical coordination, stakeholder engagement, budget oversight, and outcome assessment.
Principal Functional Responsibilities
Program Planning and Development: Assist in the development of program objectives, goals, and timelines. Collaborate with program managers and stakeholders to outline program requirements and deliverables. Coordinate logistics for program activities, including scheduling meetings, securing venues, and arranging necessary resources. Cultivate positive relationships with program stakeholders.
Implementation and Coordination: Oversee the day-to-day implementation of programs to ensure they align with established goals and objectives. Monitor program progress and address any issues or challenges that arise during implementation. Facilitate communication and coordination among partners involved in program delivery. Collaborate with stakeholders to identify opportunities for program improvement and expansion.
Administrative Support: Provide administrative support to program managers, including scheduling meetings, preparing meeting agendas, and drafting correspondence. Maintain program documentation, files, and records in accordance with organizational policies and procedures. Assist in budget planning and resource allocation for programs. Track program expenditures and ensure spending remains within approved budgets. Prepare financial reports and documentation related to program funding and expenses.
Data Collection and Reporting: Develop systems for collecting program data and maintaining accurate records of program activities. Compile and analyze program data to measure performance and outcomes. Prepare regular reports and presentations on program progress, impact, and effectiveness. Implement quality assurance measures to ensure programs meet established standards and objectives. Conduct program evaluations and gather feedback from stakeholders to inform program enhancements and adjustments.
Qualifications
  • High School diploma plus two years of college coursework (associate’s degree) OR equivalent years of experience
  • Three years related work experience in an administrative / department coordinator role
  • Proficient in Microsoft Office Suite
Preferred Qualifications
  • Bachelor’s degree
  • Experience in higher education
Physical Requirements
  • Must be able to utilize a phone, computer and screen and other office equipment.
  • While performing the duties of the job, the employee is frequently required to sit; talk; or hear and occasionally stand, walk, reach, stoop, or kneel.
  • Must be able to occasionally lift up to 25 pounds. Able to push heavy (100lbs+) laptop carts.
Department Specific Information
Learning Center
  • Provide administrative support which may range from correspondence, emails, calendar management and data entry, compiling data and generating reports related to Tutoring Program.
  • Serve in customer support capacity as receptionist to greet visitors, answer phones, and schedule walk-in appointments.
  • Respond to inquiries from applicable constituents (staff, faculty, students, etc.).
  • Maintain websites as directed.
Testing Services
  • Assists and proctors exam sessions to ensure that software is working correctly and troubleshoot technical issues; room/computer set-up, computer maintenance, etc.
  • Assists with administration of exams remotely and on-campus as well as student exam review and posting to ensure academic integrity and proper testing protocols.
  • Serve as a back-up proctor for the Office of Testing Services.
  • Provides support for the administrative staff in Academic Services including, assisting with maintaining academic space schedules for exams, preparing reports inclusion of remote exams’ incident reports, assembling, and generating report data associated with exam scores.
  • Coordinates logistics of online exam administration including previewing and posting of online exams.

Starting Pay Rate Range: $15.95 – $17.00, commensurate with experience
