Position Summary Information
Summary
The Project Manager position manages the planning, budget, equipment purchasing and installation, and overall project coordination for successful, on-time and in-budget start of a new College of Dentistry in 2025. Working closely with the College of Dentistry construction manager, the position ensures seamless synchronization between facility renovations and equipment and other critical elements for the college. This position develops an overall project plan, key progress measures, convenes and conducts regular in-process reviews, tracks and oversees the project to completion. Works closely with the Dean to ensure the college achieves required accreditation and is ready to matriculate its inaugural class in 2025.

Pay Grade: 9
Starting Salary Range: $46,300 – $61,637

Principal Functional Responsibilities
1. Budget and Financial Oversight (30%)
  • Assist in the development of a budget and the operational plans for the College of Dentistry.
  • Tracking expenditures and development of financial reports as needed.
  • Support the dean with fiscal planning and oversight: submits requests, monitors expenses and resource allocation, tracks philanthropic donations, restrictions, and availability with the Office of University Advancement.
2. Operations (40%)
  • Leads all procurement actions for all required college equipment and supplies. Works closely with University budget staff on procurement actions. Ensures all equipment has an accompanying and funded lifecycle management plan.
  • Researches and makes recommendations for supply, support, and other required college-specific contracts.
  • Liaisons with appropriate University personnel and offices for specific University-provided services or support.
  • Works closely with the project construction manager to sequence installation and testing of equipment.
  • Works closely with Facilities for required equipment storage, as needed.
  • Arranges all services required for equipment calibration and certification. Maintains all equipment calibration and certification documentation.
  • Works closely with both the construction manager, the contractor, and accreditation leaders for HLC and CODA accreditation to ensure continued compliance with relevant accreditation standards.
  • Provides required support to the dean for all external training agreements. Maintains copies of all support agreements.
  • Arranges, prepares, and supports all tours, briefings, and meetings for external stakeholders or others as determined by the dean or higher authority.
  • Prepares materials for weekly meeting of the dean with the Provost. Prepares materials for all other meetings as determined by the dean, as above.
  • Provides support to the dean for faculty interviews, visits, recruitment as needed.

3. Communication and Digital Media (20%)
  • Serve as a liaison with University Marketing and Communications in support of the dean for external messaging and communication products.
  • Supports the dean by providing oversight of the college NEOMED website and works closely with University Marketing and Communications on social media and target-audience communications.
  • Makes travel arrangements and provides support to the dean for any required University-sponsored travel.

4. Perform other duties as assigned. (10%)
Qualifications
Education/Degrees: Bachelor’s degree required. Master’s degree in project management or related preferred.
Experience: 3 – 5 years experience in successful complex project management, preferably in higher education; 3 – 5 years related work experience in an administrative / department coordinator role with responsibilities. Reporting experience in higher education or grant administration strongly preferred.

Physical Requirements
Must be able to utilize a phone, computer and screen and other office equipment. While performing the duties of the job, the employee is frequently required to sit; talk; or hear and occasionally stand, walk, reach, stoop, or kneel. Must be able to occasionally lift up to 25 pounds.
