Position Summary Information
Summary
Provide high level support to the Office of Financial Aid. Responsible for supporting prospective and continuing students by effectively and timely management of financial aid communications, processing, and delivery of accurate information to members of the counseling team for file verification, awarding and eligibility review. Maintains the student’s financial aid record in accordance with FERPA and GLBA regulations. Assists the Office of Financial Aid by planning, executing, and participating in financial literacy programming and committee support.

Pay Grade: 5
Starting Salary Range: $15.95 – $18.60, commensurate with experience

Principal Functional Responsibilities
1) Provides information to students regarding financial aid programs, application procedures, award packaging, and financial aid academic progress by:
  • Serving as the first line of contact with the Office of Financial Aid for email, phone, and in-person reception.
  • Responding and guiding prospective and currently enrolled students through the financial aid process and guides students to the counseling team for in-depth advising.
  • Participating in preparing for and facilitating financial aid workshops and presentations.

2) Prepares and reconciles a variety of reports, business correspondence, records, and/or other related documents by:
  • Collecting, analyzing, and evaluating financial aid data and documents submitted by students.
  • Processing and resolving discrepancies related to Direct Loan and ISIR processing.
  • Assisting the counseling team in the verification of student financial aid application materials.
  • Running and disseminating reconciliation reports.
  • Maintaining the student financial aid file and business operations electronic records in accordance with the University records retention policy.
  • Participating in quality assurance tests of automated processing to ensure accuracy.
  • Scheduling, disseminating data, and recording minutes of financial aid committee meetings.
  • Preparing scholarship applications for review by committees.

3) Assist the Office of Financial Aid with compliance and office management by:
  • Maintaining working knowledge of federal, state, and institutional aid programs, regulations, and guidelines by participating in professional development activities – attend financial aid training and conferences to keep up with current financial aid regulations and changes.
  • As part of the financial aid team, maintain the financial aid policy and procedures manual.
  • Participating in an annual continuous quality improvement process to enhance business operations and to enhance the student experience with the Office of Financial Aid.
  • Support the values and institutional goals as defined by the University’s Strategic Plan.

4) Perform other duties as requested to meet organizational needs and goals.
Qualifications
Education/Degrees:
High School degree required. Associate or advanced degree preferred.

Experience:
  • One to two years’ experience in a in a customer-facing capacity, data processing environment required.
  • Extensive computer experience with Microsoft Office Suite software required.
  • The ability to maintain strict confidentiality of sensitive documents, issues, and information required.

Preferred Qualifications
Education/Degrees:
Associate or advanced degree preferred.

Experience:
  • Higher education financial aid office (this requirement may be fulfilled through employment as a graduate assistant) or financial institution preferred.
  • Experience with Ellucian Banner, financial aid and billing module preferred.
  • Working knowledge of Federal financial aid websites and software, including but not limited to FAA Access to CPS Online, EdConnect, NSLDS and the COD Mainframe preferred.
Physical Requirements
Must be able to utilize a phone, computer and screen and other office equipment. While performing the duties of the job, the employee is frequently required to sit; talk; or hear and occasionally stand, walk, reach, stoop, or kneel. Must be able to occasionally lift up to 25 pounds.
