Position Summary Information
Summary
Provide administrative support to assigned departments, staff and Academic Affairs and Student Services Senior Executive Director. Serve as lead for CITI training credentials compliance of all students, TB annual process for all students, and serve as primary back-up for all credentialing responsibilities. Support Student Conduct and CAPP staff and functions. Coordinate meetings and/or events including Commencement and support all Student Services events including White Coats, and Student Wellness events. Provide routine support for budgetary needs and/or special projects or programs as assigned.

Pay Grade: 6
Starting Salary Range: $17.59 – $19.87, commensurate with experience

Principal Functional Responsibilities
  • Provide administrative support which may range from correspondence, emails, calendar management and data entry, compiling data and generating reports related to all Student Services areas including conduct, student orgs, student wellness, credentialing, inclusion and engagement.
  • Serve in customer support capacity as receptionist to greet visitors, answer phones, and schedule walk-in appointments. Respond to inquiries from applicable constituents (staff, faculty, students, etc.). Maintain websites as directed.
  • Provide executive administrative support to Senior Executive Director (who provides leadership for the Library, Assessment Services, Registrar, Learning Center, Writing Center, Student Development and Student Services) with special projects, communications across the division, division training, division management and marketing and university processes.
  • Process routine departmental expenditures and budgets / expenses including reports; process purchase of office supplies and/or equipment.
  • Provides support and planning of all new student orientations, commencement, white coat ceremony and assists with the implementation of these programs. Provides primary management of online orientation, student credentialing requirements associated with CITI training, and student suggestion box inquiries.
  • Provide administrative support to Student Conduct and CAPP areas under the responsibility of the Assistant Director of Conduct including Leaves of Absences, Petitions to Return, and back-up for all CAPP correspondence and meeting administration.
  • Perform other duties as assigned
Qualifications
Education/Degrees: High School diploma plus two years of college coursework (Associate Degree) OR equivalent years of experience

Experience: 3 – 5 years related work experience in an administrative / department coordinator role. Writing and editing skills. Experience in higher education preferred. Proficient computer skills – Microsoft Office Suite and database experience, with a heightened level of proficiency in Excel.

Physical Requirements
Must be able to utilize a phone, computer and screen and other office equipment. While performing the duties of the job, the employee is frequently required to sit; talk; or hear and occasionally stand, walk, reach, stoop, or kneel. Must be able to occasionally lift up to 25 pounds.
