SUMMARY

This position is responsible for direct mail and email coordination, database maintenance, and administrative support for the Associate Director – Annual Fund and Operations. It provides direct support for direct mail, online fundraising and major gifts. The Annual Fund Coordinator will help grow individual giving through prospect research and other strategic initiatives, while maintaining detailed, accurate and actionable donor records in Raiser’s Edge.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Project Coordination & Administrative Support

    • Serve as the primary project coordinator for direct mail and online fundraising solicitations – maintain production schedules, route creative and solicit feedback, provide necessary inputs to vendors (including creative assets and donor data files, including mailing lists), ensure all documentation is saved in project folders on the server

    • Handle production of online campaign assets – including donation form development and email set-up using HTML, Quality Assurance and testing, scheduling, and successful deployment of all online fundraising and engagement campaigns.

    • Manage the production of in-house solicitation mailings and other fundraising initiatives – creating and routing materials for review/feedback, generating mailing lists using queries and exports in Raiser’s Edge, executing mail merges, and partnering with the Special Projects and Stewardship Officer on the collation and QA of the send.

    • Attend status meetings with direct mail (weekly) and online fundraising (bi-weekly) partners and participate in quarterly/annual strategic planning sessions.

    • Partner with Communications to ensure giving society members are properly recognized for their contributions and giving society information is up to date across digital and printed collateral.

    • Oversee the implementation and ongoing maintenance of individual giving societies – including the annual invitation/induction mailing and annual recognition ceremony

Database Maintenance & Prospect Research

    • Partner with Donor Database Manager to ensure necessary appeals/package IDs are created in Raiser’s Edge in accordance with established business rules and coding logic.

    • Extract data from Raiser’s Edge on a monthly basis to provide direct mail and online fundraising vendors visibility into program performance.

    • Maintain relevant queries and processes for tracking giving society members, identifying changes in giving levels, and providing appropriate benefits and stewardship

    • Collaborate with the Data and Analytics Analyst to create and maintain working dashboards to help track and evaluate annual fund statistics and identify opportunities for efficiency and growth.

    • Maintain accurate and up to date donor records in Raiser’s Edge, including but not limited to addresses, communication preferences, special donor groups/attributes, portfolio managers and other relationships, special interests, etc.

    • Prepare donor profiles and giving histories for portfolio managers, as needed.

    • Develop, prepare and maintain relevant queries, exports and reports to support the individual giving team.

  • Additional Fundraising Support

    • Code gifts from individuals in accordance with established business rules and handle acknowledgement letters for portfolio donors and other special groups based on established logic and processes.

    • Support annual fundraising events, including Market at the Food Bank and Taste of the Browns Host Committees – execute recruitment mailing, track responses and payment, assist with ticketing, etc.

    • Respond to general donor inquires through the Donor Services phone line and email, as needed.

    • Other duties as assigned.

Qualifications

Bachelor's degree (B. A.) from four-year college or university; or two to three years related project management experience; or equivalent combination of education and work experience. Preferred 2-3 years fundraising experience and annual fund support. Willingness to work beyond normal working hours, when necessary. Proficiency in Windows-based computer software is required. Experience generating queries, reports and exports in a donor database is preferred, Raiser’s Edge, Luminate Online experience is a plus. Basic knowledge of HTML preferred. This position requires strong attention to detail, effective multitasking, organization and project management skills, an ability to work in a team atmosphere and manage a flexible schedule.

Physical Requirements and Environment

The physical requirements for this position include: Ability to frequently remain in a stationary position. Ability to move about inside the office to access file cabinets, office machinery, etc. frequently. Ability to operate a computer or other office productivity machinery constantly. Occasional ability to ascend/descend stairs to access work spaces. Occasional ability to position or move body to access filing cabinets or other work equipment. Ability to constantly exchange accurate information and communicate in person or via telephone with clients, partners, donors, coworkers and other members of the community. Must be able to constantly view a computer screen. Ability to move office equipment/supplies occasionally. Ability to lift 10-25 lbs on a regular basis. Travel is seldom required for this position. While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The noise level in the work environment is usually quiet.

Salary Range: $40,800- $45,900
