Job Title Finance and Administrative Assistant Reports To The Finance and Administrative Assistant will report to the Director of Accounting Operations. Job Overview The Finance and Administration Assistant is a cross functional role bridging finance and administration to support the daily organizational functions for Cleveland Diagnostics’ Finance department and General Office by performing tasks with accuracy, high attention to detail, and adhering to the highest standards of ethical and professional behavior. Essential Duties and Responsibilities Finance Support: - Captures and creates accounts payable supporting documentation, uploads to the accounting system accurately and efficiently.
- Support Purchasing to enter purchase orders, record receivers, place orders with vendors, follow up with vendors as required to support the lab and manufacturing purchase requestors Order inquiries.
- Assist with the credit card monthly reconciliation process by gathering receipts from company card users, prepares the document package and supporting schedule by utilizing the various Company platforms.
- Accurately enter Expense reports to accounting system with high attention to detail.
- Collect, sort, and distribute accounting and billing department mail
Administration Support: - Act as a point person for vendor delivery coordination and manage package/freight deliveries with purchasing department knowledge.
- Support facility operation to include maintenance and purchasing as needed.
- Primary on-site back-up for the front desk position as needed to include greeting persons entering the establishment, determine the nature and purpose of their visit, and direct or escort them to specific destination.
- Support general office duties to include event planning, coordination, and social committee events.
- Ability to perform all assigned duties under frequent time pressures in an interruptive environment with changing priorities
- Completing entry level tasks assigned.
Qualifications/Requirements - Initiative to complete trained tasks with minimal supervision.
- Technical Skills: Basic proficiency in Microsoft Office Suite, including Excel and PowerPoint, familiarity with office equipment, and ability to learn administrative software systems
- Soft Skills: Strong verbal and written communication skills, effective time management, attention to detail, and problem-solving abilities
- Experience: Prior administrative, clerical, or office assistant experience; experience as a receptionist/front office a plus
- Proven track record of maintaining and protecting confidential and sensitive information ensuring adherence to Company policies and procedures.
- Problem-solving and basic troubleshooting skills
- Keen attention to detail and ability to enter data and identify issues or discrepancies in financial records.
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Excellent interpersonal skills and professional etiquette
- Maintain a prompt and reliable work schedule
- Ability to work well with all levels of internal staff as well as outside clients, consultants, etc.
Physical Requirements/ Working Conditions/Equipment Used: Ability to sit and/or stand and operate a computer with ability to multitask across many software communication and data entry programs while operating and communicating through telephone device for several hours a day. Ability to lift up to 50 pounds. - Offices reachable by elevator but should be able to climb stairs in case elevator out
- General office noise and HVAC
- May be exposed to hazardous chemicals, biohazards, etc.
